Pendragon Forms Case Study

Fire Extinguisher Inspections, Reports & Work Orders

Scenario:

Redmond Regional Medical Center (an HCA Healthcare facility) uses a barcode-enabled Pendragon Forms-based solution to automate its fire extinguisher inspection process.

Case Study

Developer/Location

Paul D. Ray, PROBILITY, a Pendragon Solution Provider

Rome, Georgia

Redmond Regional Medical Center (RRMC) is a full service, 201-bed facility that serves as a referral center for all of northwest Georgia and parts of Alabama. The facility’s Engineering Services Department sought to automate its monthly inspections of over 200 fire extinguishers. Each extinguisher must be inspected monthly to comply with Joint Commission on Accreditation of Healthcare Organizations (JCAHO) and National Fire Protection Association (NFPA) codes.

Since the Engineering Department was already using Microsoft Access for it’s work-order system and each extinguisher was labeled with a unique barcode, Mr. Ray developed a Pendragon Forms application and an external database application for inspection data collection, inventory, and reporting.

The forms were deployed on a Symbol SPT 1800 device. During each inspection, the handheld is used to quickly retrieve inspection lists, verify correct and complete inspections, and update lists of units remaining to be completed. After synchronization, reports are generated for code compliance and to initiate any work-orders for deficient equipment.

Before Pendragon Forms:

Before implementing the handheld system, the inspector would make inspection notes on paper forms and then initial paper tags on each extinguisher. This process could not guarantee that the inspector was actually present at the extinguisher when making the notes nor automatically capture the actual data and time of the inspection.  The paper forms had to be reviewed to determine what, if any, work-orders needed to be generated.

Benefits:

  • Reduced time required to conduct monthly inspections

  • Automated critical JCAHO and NFPA compliance inspections

  • Integrated inspection data with a custom database for reporting

  • Eliminated paper forms and replaced them with a handheld solution guaranteeing complete, accurate inspection data collection with no handwriting
